Board Meetin
October 4th, 2009

The meeting was called to order at 1:45 pm by John Harmon.  Other Board Members in attendance were Sara Mathis, Hannah Kline, Randy Weaver, Tammy Weaver, Ron Bunner, Phyllis Vandermeer.  Liz Pollitt was present.  Patty Hoffman was present.  Absent were Kathi Vandermeer, Cassie Derby, Caleb Suydam, Larry Eskridge, Jordan Vandermeer.  Liz Pollitt said the prayer. 

September minutes correction:  Tickets given were for Possum instead of Darkside.  Ron Bunner motioned to have minutes approved with the correction made.

Liz presented financial report.  Balance is $6080.74 and all bills have been paid.  There was no communication received.

By-laws – Tammy Weaver – no report

Concessions – Sara Mathis – no report   

Make-up – Cassie Derby – no report

Program/Program Ad Sales – no report   

Properties – Caleb Suydam – no report

Publicity – Larry Eskridge - no report

Scholarship – Jordan Vandermeer - no report

Special Events – Tammy Weaver – Need ideas for events. We’ve discussed Battle of the Bands, so we need to be making a decision on what to pursue.  Phyllis Vandermeer mentioned that she would like to see the Prologue Dinner done again.  She has spoken to Cornstock people who might be interested in participating on a January date. 

Technical – Randy Weaver - no report

Wardrobe – Kathi Vandermeer - no report   

Set Design – John Harmon - no report

Website – Ron Bunner – It’s running well.   

Old Business:

Phyllis Vandermeer presented the board member slate – Chris Deakin, Christina Keith, and David Miller.  Kathi Vandermeer and Randy Weaver were nominated for second

3-year terms.  Phyllis Vandermeer motioned and Ron Bunner seconded to have Kathi & Randy on the ballot.  Ron Bunner motioned and Sara Mathis seconded Christina Keith on the ballot.  Phyllis Vandermeer motioned and Randy Weaver seconded David Miller on the ballot.  There was no motion for Chris Deakin to be on the ballot.  Randy Weaver motioned and Phyllis Vandermeer seconded to have the ballot accepted & voted on 10/24 meeting. 

Liz Pollitt will have the trash service discontinued on 10/30.

The mowing invoice needs to be submitted by the 10/24 meeting.  Sara Mathis will contact Greg Ford regarding that.

John Harmon will send the potluck/annual meeting announcement to The Ledger.  It will be held at The First Christian Church on 10/25 at 1:30pm.  We will not be providing anything this year.

Ron Bunner and Hannah Kline need a copy of the bylaws.  Tammy Weaver will send to them.

 

New Business:

Drama Club – Patty Hoffman – the parade went well, and they passed out flyers.  They are excited about the Haunted Barn event on 10/23 & 10/24 @ 7:30 pm.  The Christmas show auditions for “The Best Christmas Pageant Ever” will be 10/10 @ 1:30pm.  The club will do the advertising.  They have four confirmed venues for the show on 11/29, 12/4, 12/5 & 12/6.  Sara Mathis motioned and Ron Bunner seconded the motion to upfront the $105 + shipping for the scripts.  Patty’s email is phselects@juno.com

New Season – Larry Eskridge has suggested that the high school seniors write a show.  Christina Keith has expressed interest in submitting a show also.   

The next meeting will be Sunday, October 25 at 1:30 at the First Christian Church.  At 2:50 pm, Ron Bunner motioned to adjourn and Sara Mathis seconded it.
