Board Meeting
June 7, 2009
The meeting was called to order at 1:40 pm by Tammy Weaver. Other Board Members in attendance were Sara Mathis, Randy Weaver, Jordan Vandermeer, Kathi Vandermeer, Ron Bunner, Caleb Suydam. Kelsey Bunner was present. Liz Pollitt was present. Randy Weaver said the prayer. John Harmon sent prayer request for Bob Harmon. There was a prayer request for Shirley Shannon.
Randy motioned to approve the May meeting minutes as is. Ron seconded it.
Business Manager, Liz Pollitt
Bank balance is $6180.75. We owe 20% of Mystery Dinner theater to Baptist Church = $215.00. Total bills to be paid are $3000.00. Randy motioned to pay bills & accept financial report. Caleb seconded it. Voice vote approved.

Old Business:
Season –
Mouse - Rehearsals are going well. Jordan procured 3 Styrofoam sheets from Alexander’s for Hannah.
Children’s Show - Randy will video the Children’s show. Ron will look into packaging the DVD and the cost. It’s been advertised for $10 per DVD, so that’s what we need to work with. Kids can keep their scripts. Directors will do own programs and publicity.
Darkside – Cast is announced. Randy asked about Director’s expenses and how we are going to handle that. Caleb motioned & Kathi seconded with voice vote approved for $200 to Hannah for already incurring expenses, and $200 to Randy.
Possum – Auditions are not scheduled yet.
Board Members – Now that she’s well, Phyllis Vandermeer has agreed to finish her board term.
Programs – Sara Mathis will take ad copy to Havana Printing & order 600. Tammy will do inserts for each show.
Sign painting – Kelsey Bunner will ask around for kids to paint the signs. They will paint the sign for the Children’s show.
Fire Extinguisher – John Harmon had already agreed to make the contact to get them re-certified.
Barn repairs – Sara Mathis will get the pit roof fixed & talk to Hubbard insurance about getting it on the previous claim.
Committee Reports:
Barn Manager – per Kathi & Jordan from Jim Lafary – 4 seats have been fixed. Pit roof leaks. Water heater is fixed. Seasonal checked all the AC units. Fire extinguishers need to be re-certified. Patron bathrooms are ready to go except for cleaning. Light board is working again. Hannah’s cast cleaned the barn.
By-laws – Tammy Weaver – no report
Concessions – Sara Mathis – Will get soda in machine for rehearsals and stock concessions.
Make-up – Cassie Derby – no report
Program/Program Ad Sales – Jordan sold $4005 in ads by being approached at Farm King. Jordan will confirm with WBYS about their ad.
Properties – Caleb Suydam – no report
Publicity – Randy Weaver will get on WBYS community calendar. Ledger will not do an ad, but Larry will do review and put on community calendar.
Scholarship – Jordan said the CD renews on 6/12/09.
Special Events – Tammy Weaver - Dinner theater went well, but it was lots of work. Tina Myers from the police dept approached Tammy about doing a murder mystery dinner for a police dept. fundraiser. Randy & Tammy will put something together to present to Tina. Liz Pollitt got a call from someone in Chicago soliciting about a venue for a live band concert.
Technical – Randy Weaver – will order bulbs for lights. We still need a sound board.
Wardrobe – Kathi Vandermeer – Been working on the wardrobe closet. Peoria Players donated their stage curtain. Would be nice if we could alter it for our use.
Set Design – John Harmon – no report
Website – Ron Bunner – Website has moved from Infobahn to Yahoo servers. Have one-year contract and yearly fee is $119.00. Ron will check website emails that go to info@fultoncountyplayhouse.com. Savings for first year by using Yahoo is $102.46. We received a 3-month discount for new account. In May 2009, website averaged 46 visits/day.
New Business:
July 5, 2009, 1:30pm at the barn is the next meeting.
