Fulton County Playhouse Board Meeting August 2, 2009 The meeting was called to order at 1:30 pm by John Harmon. Other Board Members in attendance were Sara Mathis, Hannah Kline, Randy Weaver, Tammy Weaver, Jordan Vandermeer, Ron Bunner. Kelsey Bunner was present. Liz Pollitt was present. Absent were Kathi Vandermeer, Cassie Derby, Caleb Suydam, Larry Eskridge and Phyllis Vandermeer. Randy Weaver said the prayer. July minutes approved by voice vote. Business Manager, Liz Pollitt Liz presented financial report. We will continue garbage service through the end of Sept., then revisit if needed. Randy presented bills for Darkside. Randy motioned to pay bills including insurance. Ron Bunner seconded it. Communication received from Chamber of Commerce breakfast on 8/10. Voice vote for Jordan Vandermeer to attend, and we will pay for it. Committee Reports: Barn Manager – no report By-laws – Tammy Weaver – no report Concessions – Sara Mathis – gave $65.80 to Liz for Darkside concessions and $194 to Jordan for 50-50. Make-up – Cassie Derby – no report Program/Program Ad Sales – Jordan all outstanding bills are received. Lost two ads from last year, and picked up three new ones. Properties – Caleb Suydam – no report Publicity – Still have 12 ads from WBYS to use. Will use 6 to promote Possum, and save 6 for future off-season use. He will put Possum on community calendar. Randy suggested that because the Darkside mock interview was so well received, we should consider that for future shows. Scholarship – Jordan will work with Ron on getting scholarship info on web page. Jordan will be going to the high schools to talk about the scholarship. Special Events – Tammy Weaver – Baptist Church received our donation for the mystery theater. They were grateful and opened up the church for future events. Mentioned again that Larry Eskridge still wants to do a Lincoln - themed show. Suggestion of musical review in the off season also. Please email her other ideas. Technical – Randy Weaver – Light board needs cleaned and checked. He will contact the place in Peoria for estimate. Season-All is another possibility to look at it. We have six radios and four headsets that work. They need to be looked at during off season to get working. Wardrobe – Kathi Vandermeer – no report except it’s still clean. Set Design – John Harmon – no report Website – Ron Bunner – It’s running well. Please forward to him items to upload. He will keep sponsor’s links up for one year. Old Business: Drama club – Kelsey Bunner had first meeting with the parents. The parents will run the club and meet monthly. Suggestions to participate in the Friendship Festival parade, Christmas show singing at churches, Haunted House. We had questions about the Playhouse involvement. Ron Bunner motioned to form an exploratory committee to get our questions answered & discuss options. Sara Mathis, Jordan Vandermeer and Ron Bunner will meet with the parents before the next meeting to get clarification. Season – Tammy Weaver – Darkside went well. Possum rehearsals are going fine. Kelsey said she liked the director. Tammy said to make submissions for next season. Jordan mentioned the children’s show may have a submittal of Aladdin, Jr. Randy Weaver was pleased with the Darkside audience responses. He presented the NASA patch to the board for momento & posterity. New Business: Tammy – Discussed year-end party with annual meeting. John Harmon will talk to the Christian Church about the annual meeting on 10/25. Potentially, the regular monthly meeting will be 10/4. John Harmon appointed nominating committee – Phyllis Vandermeer, Caleb Suydam, Hannah Kline. The terms for Kathi Vandermeer and Sara Mathis are ending. We are uncertain what other member’s terms are ending. Ron & Hannah need keys. We will re-key in the off season this fall. The next meeting will be Sunday, August 30 at 1:30 at the barn.
