Board Meeting
April 5, 2009
The meeting was called to order at 1:40 pm by Tammy Weaver. Other board members in attendance were Sara Mathis, Randy Weaver, Kathi Vandermeer, Ron Bunner, Hannah Kline, Cassie Derby and John Harmon, Amanda Vandermeer was present. Liz Pollitt Was present. Randy Weaver said the prayer.
John motioned to approve the March meeting minutes as is. Randy Seconded it. Voice vote approved.
Business Manager, Liz Pollitt
Bank balance is $459.43. Royalties for Sweeney Beauty have been filed. Liz presented bills to be paid te Dex, phone and electric. Randy motioned to pay bills & accept financial report. Ron seconded it. Voice vote approved. No communications received.
Old Business:
New Season – Sweeney Todd fees are paid. Tammy paid $75 for Beauty and the Beast licenxe to sell DVDs of the show to family members. Childrens' ticket prices will be $6. Darkside is second show. Mr Miller agreed to the third show for $400 fee. Title is unknown, and will be open auditions. Cassie motioned to accept the season. Hohn seconded. Voice vote approved. Hohn will email the season to WIU, NY Times, WBYS ect.
Tammy will pay for the dinner theater secrpts at $289.00.
Spaghetti Dinner
$6pp, 4 – 7pm.
Larry is running ad in The Ledger and put it on the Community Calendar. Flashing sign is $30/month, and there was a suggestion to kep it for the summer. It will be in the JC Penney parking lot. Sara motioned & Kathi seconded it. Voice vote approved.
Auction items we have: baby quilt, items from Supply Sergeant, autographed photo of Jim Thome, two painting from Mary Ellen Carver.
Liz will be cashier.
Kathi will bring boom box with show tunes.
We have bake sale items.
Wear board member shirts.
Sara & Tammy will buy food/supplies.
Liz & Tammy will bring roasters.
Dinner theater still needs to be cast
We still need one board member.
New Business:
Tammy opened the floor for new President nominatons. Nominations were Caleb, Randy,and John. John motioned to clese mominations, Kathi seconded it. By written ballot, john was voted in, He will fulfill ther term until October.
Need to make decisions on mowing and cleaning
Discussion on making sure espenitures ar board approved and how to make that happen.
Comminttee Reports:
Barn Manager – Sara called Hubbard Insurance and our coverage will pay the roof damage in full. Board decided to have all repairs included in the claim. Randy motioned & John seconded. Sara will contact Sue Lafary & determine an insured contractor to five an estimate, Sara will ask Sue abouth the rehersal hall bathrooms.
By-laws – Tammy Weaver – no report
Concessions – Sara Mathis – Will get soda in machine for rehersals.
Make-up – Cassie Derby – no report
Program/Program Ad Sales – Tammy proposed to do programs in house. She will do the set-up. Randy motioned to purchase a printer for less than $100. Cassie seconded it. Liz Pollitt offered to buy the printer in exchange for two season tickets, Kathi motioned to accept Liz' offer, Sara seconded it. Tammy suggested we get 4-5 large sponsor ads = $2000. Kathi will ask Jordan if he will contact Monicals & Mid America Bank.
Properties – Caleb Suydam – no report.
Publicity – Randy Weaver – We have 10 radio ads to use as we wish. Tammy suggested we use 5 for spaghetti dinner & 5 for dinner theater. Randy is prducing a video to use at the Happy Timers presentation. We can use the video for the spaghetti dinner also. Randy suggested we create a Facebook page, Cassie volunteered to create it for us. Randey will re-conntact Joe Ginger anbout Channel 20. Amanda has a friend interested in painting the sighs this year. Tammy will contact HOI 19 News to see if we can donate tickets for the mornig show give-away. Liz contacted The National Bank to advertixe the spaghetti dinner on their reader board.
Scholarship – Jordan Vandermeer – per Kathi – Larry still needs to put his signature on the CD.
Special Events – Tammy Weaver _ Amy Harmon & Kyle Motsinger have volunteered to have a musical noght fundraiser. All donations will go to the Playhouse. Will look into doing it at a church. Date to be determined, Suggestion again of battle of the bands in July. Will continue discussing.
Technical – Randy Weaver – We still need a sound board. He will ask the Baptist church agaoin. He will put it on the radio. He will need a DVD pprjector or his show.
Wardrobe – Kathi Vandermeer – Cleaning day is Saturday, May2 @ 10am. Her sister-in-law will put all the slides/pictures found on a DVD.
Set Design – John Harmon – no report.
Website – Ron Bunner – Website is getting 29 visits/day. Suggested asking for donations & making a sponsor page with donors listed, He will list the Members at Center Stage & behind the Scenes.
May 3, 2009 at 1:30pm is the nest meeting.
